- Their role decides which parts of the app they can use: creating surveys, building dashboards, exporting. See Rights & roles.
- Their data access decides whose responses they see.
Overview
The data access types add up: a person sees every response that matches any of them, as long as the anonymity threshold is met.
Access through the reporting structure
When you import employees with anImportId and a ReportsToId, Honestly knows who reports to whom. Every supervisor then automatically sees the responses of their direct and indirect reports. This is built in: you do not have to switch it on, and you cannot switch it off.
Use this for line managers who should see their own team. How the IDs work, with an example, is explained in Reporting structures.
Access through attributes
Use attributes when someone needs to see a group of people that does not follow the reporting line — for example an HR business partner for the location “Munich”.- In the employee profile: open the person in Employees, choose Edit, and under Permissions → Data access add a rule based on Employee attributes. Pick the attribute and the values the person should see.
- In the Excel import: enter the attribute’s name in the
PermissionGroupcolumn and the value inPermissionGroupValue, for exampleCountryandGermany. A*as the value gives the person access to all data. See Excel import rules.
Access to surveys
Survey access gives a person all responses to that survey, regardless of their attributes or reporting line. Set it in either of two places — both change the same setting, so a survey added in one appears in the other:- In the employee profile: under Permissions → Data access, add a rule based on Surveys and select the surveys.
- In the survey: in Surveys, choose Edit on the survey, open the Permission tab and add people under Survey permissions. You can add Report viewers, Analysts and Managers. Managers added here can also edit the survey.
Access to all data
Tick Access to all employee data in the person’s profile to remove every restriction. They see all responses, like an admin, without getting the admin role. The individual rules are cleared when you tick it.Access to dashboards
A dashboard is visible to its creator and to all admins. To show it to others, open the dashboard, open its menu and choose Dashboard permissions. Switch on Share dashboard with additional employees, then choose:- Everyone — all employees except respondees, or
- Employees based on name or role — selected people, and/or everyone with a given role (Manager, Analyst, Report viewer).
When people get an email
As soon as a person gets a role that can log in — Report viewer, Analyst, Manager or Admin — for the first time, Honestly immediately sends them an email to set a password. It does not matter how the role was given: by hand in the profile, through an Excel or CSV import, through an HR integration or through Auto-Assignment.- The email cannot be held back or recalled. If you are preparing an account, assign the roles only when people should actually receive their invitation.
- Changing between roles later (for example from Analyst to Manager) sends no new email.
- With single sign-on (SSO) no email is sent. People sign in through your identity provider instead. See Sign in via SSO.
Report viewers can be limited to see a survey’s results only once it has ended. You set this under Roles and Permissions in the account settings — see Delay report viewer access.
