How do I configure notification emails for a 360° feedback run?
When a 360° feedback run becomes active, Honestly sends an initial email to everyone who needs to act on it — each reviewer and each recipient for their self-assessment. You can customise the subject and body of these emails per run on the Notifications tab.
Please note:
-
Only admins can edit notifications.
-
Notification settings can only be changed while the run is in Draft status. Once the run is scheduled or active, the tab becomes read-only.
-
The actual email includes your company logo and footer information automatically; the preview shows a simplified version.
Turning the initial email on or off
At the top of the tab a Send Email toggle controls whether Honestly sends the initial email at all:
-
On (default) — Reviewers and recipients receive the initial email when the run goes active. The two message sections below become editable.
-
Off — No initial email is sent. The message sections are hidden and replaced with "Email notification is disabled." Use this only if you have another way to notify reviewers, otherwise they will not know the survey is waiting for them.
Editing the messages
When the toggle is on, two message templates are shown, one below the other:
-
Reviewers — The email that people who are about to give feedback about someone else receive.
-
Self-assessment — The email that feedback recipients receive about completing their own self-assessment.
For each one you can edit:
-
Subject — The email subject line.
-
Message — The email body. Basic formatting (bold, italic, lists, links) is available via the rich-text editor.
Each section has two buttons below the editor:
-
Preview — Opens an email preview so you can see how the subject and body will render, including a sample call-to-action button.
-
Reset to Default — Restores the standard Honestly text. This button appears only when the subject or body has been customised.
Tips
-
Write in the recipient's language. Honestly sends reviewers and recipients the version of the email that matches their configured language — so make sure both the German and English versions read the way you want.
-
Explain the "why". Especially in the Reviewers email, a short sentence about the purpose of the run tends to improve response rates.
-
Preview before scheduling. The preview helps you spot formatting or tone issues before invitations go out.
