Viewing Open-Text Responses When Dashboards Hide Them

Summary This article explains why open-text (open question) responses may not appear in a dashboard and how account admins can view them using the Export section.

Why open-text responses may not appear in a dashboard

  • Dashboards only display open-text (open question) responses when you receive more than responses for that question, than given by the anonymity settings.
  • If the open-text question is optional (not mandatory), respondents can skip it; skipped questions reduce the number of open responses shown in dashboards.
  • If a survey does not have a dedicated dashboard (for example, if it was deleted), results will not be visible in dashboard format until a dashboard is created.

How to view open-text responses as an account admin (workaround)

  1. Open the Export section for the survey.
  2. Export or view the response data that shows how each respondent answered all questions.
  3. In the exported/viewed data, open-text responses are visible even when dashboards do not display them.
  4. Note that this per-respondent view does not show respondent identities; it only shows the answers submitted.

Additional notes

  • If you want open-text responses to appear directly in a dashboard, ensure you receive more open responses for that question according to the pre-set anonymity.
  • If there is no dashboard for the survey (for example, it was deleted), create a new dashboard to see charts and question results in dashboard format.
  • You can also use the Topics-section to view your open-text reponses.

Conclusion: Open-text responses may be omitted from dashboards when there are few responses or when respondents skip the optional open question. Account admins can always use the Export section to view open responses for each submission (if anonymity rules are met), and creating a dashboard will restore charted question results for the survey.
