How to Prevent Duplicate Monthly Emails: Adjusting Reminder Timing

This article explains why some recipients may receive duplicate monthly emails and how to resolve the issue. (This is only valid for recurring surveys)

Cause of Duplicate Emails

Duplicate monthly emails can occur when both the initial invitation email and the weekly reminders are scheduled to be sent out at the same time (for recurring surveys only). For example, if the initial email is sent on the first Monday of the month at 9 AM and the weekly reminders are also set to go out on the same day and time, recipients may receive two emails.

Solution to Prevent Duplicate Emails

To resolve the issue of duplicate emails, it is recommended to adjust the timing of the weekly reminders. Here’s how to do it:

  1. Change the Weekly Reminder Time:

    • Set the weekly reminder to be sent at an earlier time than the initial invitation. For instance:
      • Initial Reminder: First Monday of the month at 9 AM
      • Weekly Reminder: Every Monday at 8:30 AM
  2. Add a New Weekly Reminder:

    • Since existing reminders cannot be edited, create a new weekly reminder with the adjusted time.
    • Delete the old weekly reminder to ensure only the new one is active.

Implementation

These changes can be made while the survey is active. After implementing the new schedule, recipients should only receive the initial email at the start of the month and then weekly reminders thereafter, reducing the likelihood of receiving duplicate emails.

Conclusion

By adjusting the timing of the weekly reminders, you can effectively prevent recipients from receiving duplicate monthly emails. If issues persist after making these changes, further investigation may be necessary to ensure that the email settings are correctly configured.
