How do I create and use my own template?

For 360 degree surveys, for example, it makes sense to create one survey and duplicate it several times for different employees.

1. To do this, you must first create a new survey with "No template" and preferably name it so that you can easily find it again later. For example: "360 degree template".

 

 

2. In this survey, you define the complete survey, as well as the email and welcome message texts. If you use several languages here, these should also be translated. 

3. After the complete survey has been defined and created, you can go on to create a new survey based on the first by clicking on "Reuse an existing survey" in the options. 

4. In the "Your survey" dropdown list, you can now select the desired template and name the new survey as you wish.

 

 

The following fields, which were already configured in the template, are automatically transferred to the new survey: 
  • Survey properties
  • Welcome message
  • Thank you message for the survey
  • Schedule including time zone and whether multiple responses are allowed
  • Email settings 
  • Notification, reminders and the "results available" option
  • Questions


Caution: 

  • The questions can only be changed in the template. If changes to the questions are made here, they will be reflected in all other surveys deriving from it. 
  • If changes are made to other options, such as the email settings, these are not automatically transferred to surveys, which have already been created. All other options must be transferred individually and will not be continually updated between the template and the survey.

 

6. Now you can fill in the distribution list and then activate the survey.

Another function: Change template for an existing survey

It could be helpful to create templates for different time zones and if a certain employee changes their location, to move his survey to that location/time zone. In this case, one could create a master template with the respective survey and create further templates from this template for each existing time zone.

 

To move the survey to the new time zone, you can do the following:

 

1. Open the dropdown list to the right of "Edit" on the respective survey by clicking on the small arrow pointing downwards.


2. Then click on "Change template" to select a different one.

 

Please note:

Surveys can only be assigned to another template if the following is true:

  • The survey is deactivated beforehand.
  • The survey can only be transferred to another template if it comes from the same master template. 
  • The survey must not be archived.

 

3. The following options will then be adjusted: 
  • Survey properties
  • Welcome message
  • Thank you message
  • Schedule including time zone and whether multiple responses are allowed
  • Email settings
  • Notification, reminders and "results available" option.
