# How do I check whether an email reached an employee?

> Email history shows whether invitations and reminders were delivered, what each status means, and how to test that your IT has allowlisted Honestly.

[Go to Employees ↗](https://webapp.honestly.de/app#/employees) · Opens the webapp — please log in first

When someone says their invitation never arrived, **Email history** shows you what happened to the email: whether it was delivered, is still waiting, was rejected, or was never sent in the first place.

> [!NOTE]
>
> Only admins can see email history.

### Open email history

Go to **Employees**. From there you have two options:

* Click the envelope icon **Email history** in the person's row.
* Or open the person with the edit icon and choose the **Email history** section on the left of the dialog.

### What email history shows

On the left are the emails sent to the person in the last 30 days, newest first, each with its subject and time. A coloured dot in front of the subject shows the status at a glance.

Click an email to see its current status on the right, with the delivery timeline below it: every step with its time and status, newest first. If a step comes with a more detailed message, it appears underneath. Hover over a status to see what it means and what to do next.

> [!NOTE]
>
> Email history only shows emails sent to the address currently on file for the person. If the address was changed, emails to the old address do not appear here. Emails older than 30 days are no longer shown.

### The statuses and what to do

| Status | What it means | What you can do |
| - | - | - |
| *Delivered* | The recipient's mail server accepted the email. | Nothing more. If the person still can't find it, ask them to check their spam folder and confirm the address. |
| *Queued* | The email is still waiting to be sent. | Wait a few minutes and check again. |
| *Deferred* | The recipient's mail server temporarily refused the email, for example because of greylisting or because it was busy. Sending is retried automatically. | Usually nothing – it often turns into *Delivered*. If an email is deferred again and again, ask the recipient's IT to allowlist our sender. |
| *Soft bounced* or *Bounced* | Delivery failed, but the address is not considered permanently invalid. | Check that the address is correct. A spam filter can also be behind this status – see the next section. |
| *Hard bounced* | The address or the domain does not exist. | Correct the person's email address. The current one will never receive email. |
| *Blocked* | The email was never sent because the address is on our suppression list – after an earlier hard bounce or a spam complaint. | Fix the cause (correct the address or have our sender allowlisted), then ask [support](mailto:service@honestly.com) to remove the address from the suppression list. |
| *Marked as spam* | The person or their email provider marked an earlier email as spam. | Ask the person to move our emails out of spam and mark them as "not spam". Repeated complaints keep the address suppressed. |
| *Unsubscribed* | The person unsubscribed and receives no further emails. | Respect the opt-out. The person has to re-subscribe themselves before they receive emails again. |
| *Unknown* | There is no definite result for the email yet. | Check again in a few minutes. If the status stays unknown, contact [support](mailto:service@honestly.com). |

So *Blocked* means that we did not send the email – not that the recipient's spam filter blocked it.

### When a spam filter rejects the email

If the recipient's mail server or spam filter rejects the email, the cause lies there and cannot be fixed in Honestly. The recipient's IT has to allowlist email from Honestly. The IP address and sender they need are listed in [IT onboarding](https://help.honestly.com/help/faq/it-onboarding.md).

Such a rejection does not show up as *Blocked* in the history. It can appear as *Soft bounced*, even though it will not go away on its own. Signs that a spam filter is behind it:

* The message in the delivery timeline mentions a block, spam or a policy (for example *blocked*, *spam* or *policy*).
* Several people with the same email domain show the same status.

### Test the allowlisting

Once your IT has allowlisted Honestly, you don't have to wait for the next scheduled email. A test email tells you whether emails from Honestly now get through:

1. Log in as an admin with an email address on the affected domain. The test email always goes to the address you are logged in with – you cannot enter a different one.
2. Open a survey, go to the **Email Template** tab and click **Send Test E-Mail**.
3. Wait a few minutes. Then open your own entry under **Employees** and its **Email history**. The test email carries the invitation's subject. If it shows *Delivered*, emails from Honestly are getting through.

The test email goes through the same sending service and comes from the same sender as invitations and reminders. For more on the test email, see [How can I test my survey?](https://help.honestly.com/help/surveys/test-survey.md)

> [!NOTE]
>
> The test shows that your domain accepts email from Honestly – not that every individual mailbox receives it. Whether a particular person gets the email only becomes visible with the next invitation or reminder sent to them. Resending an invitation to a single person is not possible.
